Senior Executive Assistant to the Director-General

Location: Abuja (FCT)

Employment Type: Full-time

Reports To: Director-General

Job Summary 

  • We are seeking a highly organised, proactive, and discreet professional to serve as Executive Assistant to the Director-General (DG).
  • The successful candidate will provide high-level administrative, coordination, communication, and executive support to the DG, ensuring the effective management of the DG’s schedule, correspondence, meetings, engagements, and day-to-day priorities.

Key Responsibilities

  • Provide high-level administrative and executive support to the Director-General, ensuring the effective coordination of the DG’s daily activities and priorities.
  • Manage the DG’s calendar, appointments, meetings, official engagements, and travel schedules.
  • Serve as a key point of contact between the Office of the DG and internal teams, partners, clients, government institutions, development organisations, and other external stakeholders.
  • Coordinate and maintain professional relationships with key stakeholders on behalf of the DG, including scheduling meetings, facilitating communication, and ensuring timely follow-up.
  • Support the DG in preparing for and participating in high-level meetings, conferences, workshops, strategic engagements, and other official events.
  • Prepare meeting agendas, briefing notes, presentations, talking points, and other materials required by the DG.
  • Attend meetings with the DG, document discussions, prepare minutes and action points, and monitor follow-up to ensure agreed actions are implemented.
  • Conduct research and prepare concise briefs, background notes, summaries, and reports to support the DG’s decision-making and engagements.
  • Develop and support the preparation of concept notes, proposals, project briefs, presentations, and other strategic documents for programmes, partnerships, meetings, and stakeholder engagements.
  • Assist in identifying and researching potential partners, funders, institutions, and strategic opportunities relevant to the Institute’s objectives.
  • Support the DG and management team in coordinating stakeholder meetings and maintaining effective communication with partners and prospective collaborators.
  • Draft, review, and proofread official letters, emails, reports, memos, speeches, presentations, and other correspondence from the Office of the DG.
  • Manage incoming and outgoing correspondence and ensure that important matters requiring the DG’s attention are properly prioritised and followed up.
  • Maintain an organised filing and records management system for documents, correspondence, reports, meeting records, and other official materials.
  • Track the DG’s commitments, deadlines, assignments, and outstanding action points and provide timely reminders and updates.
  • Support the coordination of events, training programmes, meetings, workshops, and other Institute activities, including logistics and stakeholder communication.
  • Assist with general office administration, including preparation of documents, scheduling, record keeping, procurement requests, travel documentation, and other administrative processes relating to the Office of the DG.
  • Handle confidential and sensitive information with a high degree of discretion and professionalism.
  • Liaise with internal departments to obtain information, prepare reports, and coordinate tasks assigned by the DG.
  • Support the DG with other strategic, administrative, and operational assignments as required.
  • Perform other duties as may be assigned by the Director-General.

Qualifications and Experience

  • Bachelor’s Degree in Business Administration, Management, Public Administration, Social Sciences, Communications, or a related field.
  • A minimum of 3–5 years of relevant experience in executive assistance, personal assistance, office administration, management support, or a similar role.
  • Previous experience supporting a senior executive, CEO, Director-General, Executive Director, or other high-level office is highly desirable.
  • Excellent written and verbal communication skills.
  • Strong organisational, coordination, and time-management skills.
  • Excellent proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Demonstrated ability to handle confidential and sensitive information appropriately.
  • Ability to work independently, anticipate needs, exercise sound judgement, and meet tight deadlines.
  • Strong interpersonal and relationship-management skills.
