Job Overview:
Provide comprehensive administrative and executive support to the Executive Director to ensure efficient management of priorities and deliverables.
Support the Executive Director with research, briefing notes, and executive summaries to aid informed decision-making.
Track and follow up on action items arising from executive meetings, ensuring timely execution and closure.
Prepare high-quality presentations, reports, and correspondence on behalf of the Executive Director.
Coordinate group-level meetings, board-related engagements (as applicable), and executive sessions, including preparation of agendas and accurate documentation of minutes.
Ensure effective communication and alignment between the Executive Director's office and group subsidiaries.
Monitor compliance with agreed timelines, directives, and executive instructions across business units.
Manage the Executive Director's calendar, travel arrangements, meetings, and logistics with precision.
Serve as the primary point of contact between the Executive Director and internal/external stakeholders.
Handle sensitive, confidential, and high-risk information with the utmost discretion and professionalism.
Liaise with senior internal and external stakeholders on behalf of the Executive Director.
Represent the Executive Director in meetings, engagements, and forums as delegated.
Build and maintain strong professional relationships to support group objectives and executive effectiveness.
Support the coordination of strategic initiatives and special projects led by the Executive Director.
Track milestones, deliverables, and dependencies across multiple subsidiaries and functions.
Identify potential risks, bottlenecks, and priority conflicts, escalating issues proactively.
Requirements:
Bachelor's degree in business administration, Management, Economics, Social Sciences, or a related discipline. A master's degree and professional certification will be an added advantage.
Minimum of 4-6 years' experience in an executive support, senior administrative, or coordination role supporting top management.
Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced Excel and PowerPoint skills for data analysis, modelling, visualization, and executive reporting,
Strong written and verbal communication skills with the ability to engage senior executives confidently.
High level of discretion, integrity, and confidentiality.
Excellent organizational, time management, and multitasking abilities.
Strong attention to detail and follow-through.
Ability to work independently and manage competing priorities in a complex, group-wide environment.
Professional judgment and problem-solving capability.
